Job Description:
The American Society for Surgery of the Hand in Rosemont (Chicago), IL seeks
talented governance/project coordinator to work on governance matters. The
Administrative Coordinator is primarily responsible for managing and
coordinating the Hand Societys governance system and process. The
Administrative Coordinator also serves as staff liaison to several
committees and provides administrative support to the Executive Director.
Writing, editing, and critical thinking skills are key. Liberal arts degree
or five years relevant experience required. Successful candidate will have
strong project management, administrative and computer skills. Must be
highly organized, self-directed, and adaptable to change. Great position
for someone looking to break into the nonprofit field and work their way up.
Interest in nonprofit business management a plus. Excellent working

Job Responsibilities:
Maintain, update, and keep current all information related to the the Hand
Societys governance structure (e.g., organizational chart, structure,
committee chairs and terms, committee member and terms, etc.) This includes
updating and maintaining all governance information on the ASSH website.
Update the governance structure periodically using iMIS database; update
current committee chair and members records in the activity section of
iMIS
Create timelines for agenda material for each Council meeting. Communicate
with committee chairs regarding process and format for requesting Council
action and/or discussion
Prepare and distribute Council meeting agendas, agenda PDFs, and relevant
communications. Upload Council PDF to Council e-community and notify all
recipients. Send out web-based survey of each Council meeting shortly after
the meetings conclusion.
Work with the President-elect to update all committees rosters and
charges.
Coordinate all communications with incoming and outgoing committee members
and chairs. Prepare the committee book for distribution. Perform web-based
surveys to gather information regarding performance of committees and
committee chairs.
Serve as primary staff liaison to the Bunnell Committee, Young Members
Steering Committee, Young Leaders Forum, Diversity Task Force, and other
committees. Coordinate with committee chairs all aspects of reviewing
applications, updating databases, disseminating correspondence.
Serve as primary staff liaison to Association of Hand Surgery Fellowship
Directors. Maintain and update fellowship program listings; coordinate all
association communication.
Take minutes at all Council, Executive Committee, and Members Business
Meetings. Work with ASSH Secretary to finalize the minutes and distribute
to Council and staff. Maintain minutes and attachments in Central Files.
Prepare To-Do lists immediately after Council and Executive Committee
meetings, together with the Executive Director. Monitor the completion of
projects on the to-do list and prepare final report for next meeting.
Draft the Presidential Update following each Council Meeting.
Oversee and coordinate all aspects of the Members Business Meeting, together
with the ASSH Secretary and Executive Director.
Maintain the Societys bylaws. Make changes as approved by members.
Update the ASSH Policy and Procedures Manuals regularly. Present to
Council, via the ASSH Secretary, annually, for review and approval.
Assist Executive Director in his/her responsibilities as staff liaison to
various other committees. Write and edit ASSH documents as necessary.
Organize and lead egg timer meetings as required.
Post the Journal Club articles on the ASSH website and send out blast email.
Serve as source of governance information for ASSH staff.
Oversee preparation of various plaques for the Annual Meeting. Order
appropriate pictures and direct the preparation of the Presidents
Scrapbook
after the meeting.
Prepare budgets for all committees managed by the Executive
Director/Administrative Coordinator. Review financial statements, revise
budgets regularly.
Maintain and oversee the Societys Central Files as well as the files of
the
Executive Director.
Open, date stamp, and sort all mail for Executive Director. Track priority
communications. Forward relevant information to other staff and members, as
needed.
Enthusiastically undertake all other jobs, as required, to facilitate the
flow of business within the Society.
