Job Description:
Tacoma Art Museum connects people through art. The museum serves the diverse
communities of the region through its collection, exhibitions, and learning
programs, emphasizing art and artists from the Northwest. Founded in 1935 by
volunteers, Tacoma Art Museum opened the doors of its sleek new Antoine
Predock-designed building in May 2003. The museums five galleries display
an array of top national shows, the best of Northwest art, creatively themed
exhibitions, and historical retrospectives. In addition, there is an
Education Wing for children, adults, and seniors with an art resource
center, classroom, and studio for art making. Tacoma Art Museum is located
in Tacomas Museum District, near the Museum of Glass, the Washington State
History Museum
, and historic Union Station.

Job Description
 
Position Objective:
This part-time position (32 hours), which reports to the Communications
Director, is responsible for assisting in the promotion of the museum, its
exhibitions, and educational programs via the creation and management of a
speakers bureau, a guerrilla marketing program, and community partnership
programs. The marketing assistant also will assist in maintaining the
museums Web site, conducting market research, training volunteers, and
working as a liaison between staff and vendors for promotional print
materials production.
 
Responsibilities and Tasks:
Public Messaging and Branding (40%)
Working with the Communications Director:
- Coordinate the museums speakers bureau in compliance with guidelines
from the museums recent federal grant from the Institute for Museum and
Library Services (IMLS).
- Develop branded written and PowerPoint presentations that can be used by
museum staff and volunteers who are speaking about the museum in the
community.
- Present information about the museum, its exhibitions, and educational
programs to groups in the community.
- Coordinate and schedule speaking engagements for staff and volunteers
(including directions, agendas, presentations, AV equipment, and follow-up).
- Recruit volunteers with appropriate skills and experience to join the
museums speakers bureau and make presentations in the community.
- Train and make resources available for volunteers to give speakers bureau
presentations.
- Ensure that the speakers bureau presentation reflects changes at the
museum, current exhibitions and programs, and remains brandworthy.
 
Photography/Videography Pool (10%)
- Collaborate with museum staff to identify photo opportunities.
- Cordinate the museums pool of contract photographers to provide photos of
museum events, exhibitions, programs, etc. for use in promotional materials.
- Write contracts, instructions for each photo shoot, and take
responsibility for scheduling and paying photographers and staff photo
assistants.
 
Community Promotional Partnership Management (15%)
Working with the Communications Director:
- Identify opportunities in community to creatively partner with appropriate
businesses and other agencies to promote the museum (e.g., trading $1-off
coupons for the opportunity to place coasters on tables in a local
restaurant; coordinating similar trade opportunities with other businesses).
- Make presentations about the museum to local tourism and service
personnel, such as the concierge group, tourism bureau staff, restaurant and
retail service personnel, etc.
- Work with key staff to create and produce promotional materials, coupons,
certificates, etc., for use in these community partnerships.
 
Market Research and Planning (15%)
Working with the Communications Director:
- Collaborate with communications director and other key staff to conduct
market research that allows the museum to accurately identify its current
audience and identify potential audiences (for instance, design visitor
surveys, analyze visitor information, build reports of visitor demographics,
etc.)
- Work with communications director and other key staff to strategize ways
to reach these audiences.
- Maintain integrity and accuracy of data in database (Access).
 
Guerilla Marketing (5%)
Working with the Communications Director:
- Coordinate the distribution of guerrilla marketing materials such as
brochures, posters, coupons, fliers, etc., with the help of museum work
study students.
- Work with museum work study students, to identify potential guerrilla
marketing avenues, gather contact information, and coordinate a schedule and
maps for distribution of materials.
 
Administrative/Technology (15%)
- Assist with booking, coordinating, and greeting Second Tuesdays group
tours (seniors).
- Assist PR Coordinator in the creation of audio (and video) materials for
podcasts and for use on website, myspace page, etc.
- Conduct interviews with key staff for recordings.
- Edit audio and video to make it suitable for use as a podcast and/or on
the website.
- Assist with creation of general museum brochure using outside design and
printer vendors.
- Assist PR coordinator in the creation and maintenance of social marketing
opportunities, including Facebook, Flickr, and MySpace pages, and museum
Website blog.
 
All other duties as assigned.
 
Skills, Knowledge, and Abilities
- Requires a high comfort level with public speaking, and an engaging,
enthusiastic presentation style.
- Requires excellent writing skills.
- Must have basic knowledge of market research tenets and have some
experience with data gathering, processing, management, and presentation.
- Must work well with staff, volunteers, and the general public to promote
Tacoma Art Museum.
- Must be familiar and comfortable with virtual space (internet, podcasts,
myspace) and new technology.
- Experience in sales and/or customer service is desirable.
- Facility with Microsoft Access is desirable.
- Knowledge of print materials production is desirable.
- Experience with Web site maintenance and/or creation is desirable.
 
Minimum Qualifications
- Bachelors Degree in marketing, public relations, communications, or
related field
- Excellent written and verbal communication skills
- Goal oriented with strong organizational skills
- Facility with Microsoft PowerPoint

- Familiarity with Microsoft Access
- High comfort level with presentation hardware and software
- Drivers license and reliable transportation
