Job Title: Communications and Operations Coordinator (

Admission Possible is
seeking a Communications and Operations Coordinator to
help support our
programs expansion into
Admission Possible is a
seven-year-old nonprofit organization dedicated to
helping promising,
motivated low-income young people earn admission to
college. We identify
students with the motivation and potential for
college, and then provide them
with (1) SAT/ACT test preparation; (2)
guidance in
the college application process; (3) assistance in the financial
aid
application process; and (4) guidance in transition to college. In
2008-09,
we will serve over 1,300 students in the program, from 16 public
high schools
in the Twin Cities area, and we will begin operations with up
to 60 students
in
in helping more than 98% of our
students earn admission to college!
In the Twin Cities, we deliver our
services with a staff of 48 AmeriCorps
and VISTA Members and a full-time,
regular staff of 14. In

I. Job
Summary
The
Communications and Operations Coordinator will assist the Branch
Leader
in the development of fundraising, internal and external
communications, and
day-to-day operations including human resources and
office management. This
position will be based out of the

II. Specific
responsibilities
A.
Fundraising: Work with the Milwaukee Branch Leader on all out-going
proposals
for funding in
prospect, and write grants. Solicit
individual contributions for the
providing timely annual reports for all foundation
donors to
Process all contributions
including providing all donors with proof of
contribution, tracking donations
for accounting, recording all data for
future solicitation in database, and
being responsible for the deposit of
all funds at the bank. Generate in-kind
donations. Maintain the integrity
and accuracy of the
related information to national
fund raising efforts coordinated by the Twin
Cities office.
B. Communications: Help to create
Admission Possible brand identity in
the community through various media
outlets. Be responsible for the content
production of local marketing pieces.
This will include creating a
quarterly newsletter to be distributed to all
donors, prospective donors,
and community supporters
in the
standard
plan logistics for all organizational events including
community service
day, trainings, and advisory board meetings. Work with the
Twin Cities team
to develop and maintain up-to-date external and internal
website material
related to the Milwaukee Office. Contribute
material to national communication projects, as required.
C. Office Management: Coordinate all
purchasing, receiving, accounts
payable and vendor relations. Assist with
computer/technical equipment and
provide support for troubleshooting all
problems. Monitor, maintain and
order office supplies and equipment necessary
for day-to-day use. Manage
reception duties, incoming calls and answering
field questions alongside
providing organizational information, taking
messages and greeting visitors.
Work with building managers, as needed, for
maintenance and security issues.
Be responsible for the general presentation
of the office. Be responsible
for the local phone and voicemail systems
including configuration,
maintenance and general
use.
D. Human Resources:
Create and maintain records and personnel files
including all evaluations,
timesheets, background checks, emergency records
and employee benefit
information. Trouble-shoot all employee requests and
administrative
questions. Field questions and concerns regarding benefits,
reimbursements and taxes. Keep up to date with
regulations. Create and
maintain records, postings, policies and practices
that are compliant with
applicable federal and state laws. Contribute to the
payroll process for the
interviewing
and selection processes, as well as new employee orientations.
III. Specific Requirements
Bachelors degree and a minimum of three years of related
successful
experience required
Flexibility and strong problem-solving skills to deal
with daily and
weekly challenges as they arise and to respond to
opportunities as they
present themselves
Strong attention to detail and
eagerness to create order
Excellent written and verbal communication skills
and strong
interpersonal skills
Self-starter with the ability to
prioritize multiple projects and
deadlines simultaneously in a fast-paced
environment
Ability to focus on outcomes and meet deadlines
Strong
computer skills, including demonstrated experience with
Microsoft Word and
Excel; prior experience with fundraising, design and/or
accounting software
helpful. Basic troubleshooting skills helpful.
Entrepreneurial spirit to work to do whatever it takes to start
something new
and utilize creative problem solving skills
Familiarity with the Milwaukee
area appreciated but not required
Prior human resource experience in the
state of Wisconsin preferred
Prior supervisory experience preferred
Prior accounting experience helpful
Strong spirit of public
service
IV. Compensation
The starting
salary ranges from $25,000 - $30,000, commensurate with
experience. Excellent
