Job Description:
Primary Purpose:
This position serves as office manager, administrative assistant and lead
support staff for the Regional office of Church World Service. The Program
Assistant is expected to coordinate, organize and track the flow of forms
and other paperwork within the office. She/he works with CROP community
event volunteers and maintains records related to event income and
materials. She/he manages the computer database required by the various
programs. She/he works with congregations and the general public, responding
to their requests for materials and information about the programs of Church
World Service. She/he coordinates the regional CWS Tools & Blankets Program
and the CWS Kit Program. Additional involvement promoting these CWS programs
and staffing displays at local area meetings and/or
denominational/ecumenical meetings may be required. Some local travel is
expected. In some regions the incumbent may supervise other full or part
time clerical support staff.
 
Essential Duties:
Event Related Tasks:
 Maintain accurate, up-to-date event-related records: leadership, income,
materials etc.
 Complete necessary forms for implementation of community event needs:
material orders, insurance, local allocations, etc.
 Assist event committees, as appropriate, with PR and additional material
needs.
 Oversee CROP events as assigned by Regional Director within time
constraints of a non-exempt position.
 Oversee the event enhancement wearables/sales program.
 
Other Fund Raising Tasks:
 Serve as coordinator of the regional Tools & Blanket and Kit programs.
 Respond to inquiries and requests for materials
 Promote and interpret the Programs with constituents via phone, letters,
news releases and e-communications.
 Coordinate Regional Kit depots and ingatherings.
 Assist in other fund-raising activities on periodic basis as needed.
 
Education/Interpretation Related Tasks:
 Assist in promotion and dissemination of CWS program information, and
interpreting hunger- related issues and concerns representing CWS at Church
Women United, denominational or congregational meetings as requested by the
Regional Director and within time constraints.
 Be knowledgeable of available educational and audio/visual materials and
recommend appropriate material in response to inquires.
 Maintain readily available information on "hot" topics and disaster
information for quick response to inquiries.
 Assist in writing, editing, proof-reading regional publications
(newsletters, resource mailings) and news releases.
 Assist with and initiate contacts to maintain and strengthen supportive
regional network for Church World Service/CROP Hunger Walks.
 Recruit, supervise, and recognize office volunteer(s).
 
Administrative Tasks:
 Help the director prepare for productive visits to churches, groups and
communities in the WI Region.
 Maintain appropriate records as required.
 Assist in accurate and timely submission of reports.
 Monitor all functions that make an office run smoothly and efficiently.
 Update mailing and other pertinent lists.
 Maintain postage and petty cash accounts.
 Order and stock shelves with materials and supplies.
 Serve as receptionist in greeting visitors, answering phones, relaying
messages; and responding in other appropriate ways.
 Process incoming and outgoing mail.
 Maintain accurate and current filing system.
 Attend any CWS/Resource Development training/meetings as requested.
 Perform other related duties and special projects as requested.
 
Qualifications:
Education:
Undergraduate degree or equivalent experience.
 
Experience:
Experience working in an office, performing varied administrative activities
in support of program and regional fund raising goals. Demonstrated
experience in working with budgets and financial records, as well as strong
understanding of CWS community fund raising programs and regional operations
